Job Purpose:
Summary:
The Dispatcher is responsible for overseeing and managing all dispatch operations within His team. This includes supervising staff, ensuring efficient work distribution, fulfilling operational tasks related to sales orders, deliveries, loading, inventory management, and reporting.
Essential Duties and Responsibilities:
Team Leadership:
- Supervise and assign tasks to dispatch team members.
- Monitor staff performance and provide feedback.
- Address and resolve operational and personnel issues.
- Participate in hiring, training, and development activities.
Sales and Order Management:
- Receive sales orders from the sales department.
- Create delivery orders in SAP (VL01N).
- Loading and Inventory Management:
- Oversee loading based on deliveries, including:
Checking quantities.
- Ensuring proper item placement to minimize damage and maintain truck cleanliness.
- Record and analyze damage cases, implementing measures to reduce them.
- Check stock availability in SAP using FIFO (MB5M).
- Create inter-store transfer orders (STO) for SAP (ME21N) as needed.
- Communicate order details via email, WhatsApp, or personal interaction.
- Receive transferred items physically and update SAP using MIGO after quantity verification.
Returns and Credits:
- Manage returns from delivery personnel, informing the sales department to generate return orders.
- Address variances in returned quantities and inform the sales department for order modifications.
- Receive return order numbers from sales and update SAP (VL01N).
- Create credit notes outside SAP (VF01).
Reporting and Inventory Control:
- Conduct daily stock card and SAP system comparisons using VA05.
- Perform daily inventory after loading activities and update stock cards.
- Generate daily reports of loaded items using VA05 with adjusted layout settings.
- Create reservations in SAP (MB21).
- Prepare and send daily opening stock reports to the manager and stock group via WhatsApp.
- Perform any other duties as maybe assigned by the line manager
Education and/or Work Experience Requirements:
- A minimum of a bachelor’s degree in logistic or a related discipline
- Minimum 3 years of experience in a dispatch role.
- Strong understanding of SAP systems, particularly codes VL01N, VF01, MB5M, ME21N, MIGO, VA05, and MB21.
- Excellent communication and interpersonal skills.
- Leadership and supervisory skills.
- Analytical and problem-solving abilities.
- Strong organizational and time management skills.
Technical Skills:
- Strong understanding of SAP systems, particularly the following codes:
- VL01N (Create Delivery Order)
- VF01 (Create Invoice)
- MB5M (Stock Overview - List)
- ME21N (Create Purchase Order)
- MIGO (Goods Receipt)
- VA05 (Sales Order - Display)
- MB21 (Create Reservation)
Soft Skills:
- Excellent communication and interpersonal skills.
- Leadership and supervisory skills.
- Analytical and problem-solving abilities.
- Strong organizational and time management skills.
Additional Desirable Skills:
- Familiarity with FIFO (First-In, First-Out) inventory management principle.
