Our client is a Uganda-based, award-winning leader in gorilla and wildlife conservation, championing the health of wildlife, ecosystems, humans, and their livestock in and around Africa’s protected areas including, Bwindi Impenetrable National Park, a UNESCO World Heritage site. Our client is a registered Ugandan NGO and 501(c)3 US registered nonprofit.
Duties and Responsibilities
Devise Accurate Realistic and Inclusive Country Programme Budgets, Donor Financial Proposals and Departmental Budgets
- Timely preparation of annual operational and capital budgets, performing revisions where appropriate: solid budgets prepared with budget holders as the basic guiding tool for the optimal use of financial resources
- Monitor expenditure trends and provide timely advice and explanation on potential over or under spends to Program Manager and CEO: allowing managers to make required adjustments to their plans appropriately
- Monitor programme support costs and ensure they reflect agreed plans, donor regulations, and policies
- Maximize resources and funding to ensure that optimal value for money is attained for the Organisation: Clearly defining income/cost ratio, ensuring budget holders have appropriate finance skills and provide training as required
Effective Management and Oversight of Working Capital including, Stock, Debtors and Cash
- Coordinate and maintain a cash flow management and forecasting system whereby adequate funds are available for programme needs: following up and ascertaining donor cash inflows, strict expenditure control and a strong understanding of programme requirements
- Manage investments, debtors, creditors and advances from donors and their accurate recording and reconciliation on the Balance Sheet.
- Ensure that all statutory requirements are met on time (PAYE, VAT, Income Tax, NSSF)
- Monitor fluctuations in foreign exchange to minimise exposure to adverse movements
- Ensure timely accurate preparation of the organisation’s monthly financial management accounts
- Prepare donor financial reports in line with donor reporting requirements and standards
- Coordinate the financial audit, preparation of statutory accounts and subsequent annual reports for CEO.
Financial Reporting
- Prepare and submit monthly, quarterly and annual programme financial and related reports to the CEO and donors according to agreed timetables. All reports must conform to CTPH and/or donor specific formats
- Prepare and agree year-end accounts with external auditors and resolve all audit queries within your control by end of March of each calendar year
- Prepare and agree annual project reports with external auditors and resolve all audit queries within your control according to an agreed timetable
Financial Controls and Risk Management
- Conduct internal audits and liaising with external auditors to ensure annual monitoring is carried out
- Build capacity among your team to strengthen supervision by finance
- Work with management to build a culture of values and transparency in finance
- Initiate and oversee adherence to the organization’s financial policies and procedures, and continuously improve systems and mitigate risks
- Support management and control of fixed assets, equipment and supplies
- Conduct monthly spot checks to ensure a strong control environment
Leading a Continuously Developing and Improving Team
- Lead and manage members of the finance team to build their capacity and strengthen competency and professional development
- Conduct regular staff performance appraisals, monitoring progress and setting objectives
- Review the operational structure of the finance department to ensure that all roles and responsibilities are relevant to the needs and demands of the organisation
Experience, Skills and Qualifications
- A Bachelor’s Degree in either Business Administration, Accounting and Finance, or related discipline. Full membership of an accounting professional body such as, CPA or ACCA
- 10 years job experience in a related field, preferably in the NGO sector
- Must have experience in managing Grants
- At least 3 years in a management position.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Computer literacy is a must with strong knowledge of Outlook, Excel and accounting packages especially, QuickBooks.
- Strong team building skills.
- Experience in financial planning and management
