JOB DETAILS:
The Assistant HR Officer, works in collaboration with the HR team and assists in the day-to-day operations of the HR department.

Duties and responsibilities:
• Assist with the day-to-day operations of the HR duties in the company and HR department.
• Support in the recruitment process by coordinating communication with candidates, scheduling for the interviews.
• Assist in the following up of performance management process and contract for the employees.
• Support in the implementation of effective onboarding and offboarding of new employees and ensure the new staff are enrolled in the system.
• Maintaining and manage the employee database, employee records, manage filing (hard & soft), storage, and security of documents (attendance, EEO data, etc.) according to policy and legal requirements.
• Prepare accurate monthly reports on attendance and leaves for staff in line with the SPOUTS’ reporting requirements.
• Respond to inquiries where need be on behalf of the HR department.
• Support in coordinating office supplies & general administrative processes for the smooth running of the company.
• Assist in organizing meetings, training within the company; by ensuring meeting refreshments are available.
• Support in coordinate staff welfare events and engagements, such as birthdays, physical fitness classes, Movie nights, among others.
• Coordinate the procurement process for HR supplies and make follows on all the requests and payments made.
• Any other duties as assigned by the supervisor.

Capabilities;
Within the context of the main responsibilities and accountabilities of the role, the employee is expected to demonstrate the following capabilities:
• Proven experience as HR Assistant or other HR position.
• Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
• Understanding of labor laws and disciplinary procedures
• Proficient in MS Office; knowledge of HRMS is a plus.
• Outstanding organizational and time-management abilities.
• Excellent communication and interpersonal skills.
• Problem-solving and decision-making aptitude.
• Strong ethics and reliability.
• Applies broad-based knowledge to coordinate projects, account for resources and ensure compliance with relevant legislation and standards.
• Works autonomously, is well organized with strong critical thinking skills, problem-solving skills and planning skills.
• Personal qualities of integrity, credibility, and dedication to the mission of SPOUTS.
• Works well in a multi-functional and multi-cultural team.
• Excellent computer and numeracy skills, proficient with Microsoft Word and Excel.

Qualifications/ Experience.
• Bachelor's Degree in Human Resource, Organizational Psychology, Business administration or any other related field (essential).
• 3 years of experience as an HR assistant (essential).
• Significant experience in a range of human resources functions, particularly in a multicultural setting.
